Job Notice: Awards Ceremony Event Producer

SUMMARY: The awards ceremony event producer is a contract position that reports to the executive producer and is responsible for defined functions related to the presentation of the TBA Awards on November 9, 2015. The term of this contract begins upon signing of the contract and ends November 30, 2015.  The awards ceremony event producer is authorized to act directly in the execution of duties related to the defined scope of work, including incurring expenses to be paid and/or reimbursed by TBA related to designated and pre-approved budget items. The awards ceremony event producer scope of work is defined as:

      •      Create production timeline with deadlines/deliverables within two
              weeks of finalizing contract for executive producer approval
      •      Work with executive producer on vendor/contractor selection and their
              responsibilities, including but not limited to event photography and
              event printed program
      •       Manage agreed-upon scope of work and related budget line items
      •       Schedule and manage event production meetings
      •       Propose detailed budget based on supplied overall event budget

      •       Create and distribute finalist/company ceremony participation guidelines

      •       Manage non-revenue (comp) seating assignments
      •       Recruit event photographer(s) for arrivals and event/s; provide shot list
               to photographer(s)
      •       Manage press relations table
      •       Oversee box office administration and reporting
      •       Manage will call process at event (including finalists, press, other VIPs)
      •       Coordinate red carpet/VIP arrival elements (step-and-repeat, etc.)

      •       Define sponsorship opportunities and deliverables (cash/trade/media)
      •       Create sponsorship collateral
      •       Attract sponsorships (follow up with previous sponsors and solicit new
               sponsors on a commission basis)
      •       Manage sponsorships (administration and fulfillment)

      •       Liaise with Geary Theater staff and management
      •       Develop overall event timeline including utilization of TBA staff
               and volunteers
      •       Write ceremony script/event flow
      •       Secure and coordinate talent (hosts, performers)
      •       Coordinate talent, travel and accommodations (if any)
      •       Select and recruit presenters and other non-performing participants
      •       Manage production of projections and other visual elements
      •       Manage music and other audio elements
      •       Supervise on-stage production elements (set, lights, sound)
      •       Coordinate archival video production (if any)
      •       Coordinate rehearsal schedule and process
      •       Stage and direct ceremony including finalist traffic flow
      •       Manage event volunteers

      •       Manage use of dressing room/green room space 

      •       Supervise load out 

      •       Post-event review (with TBA management)

Other duties as mutually agreed upon by the executive producer and awards ceremony event producer.


      •       Prior event management and production experience
      •       Ability to handle sensitive and confidential information
      •       Excellent communication skills
      •       Ability to interact with a people at all levels in a professional manner
      •       Knowledge of theatre (especially in the Bay Area), theatre administration
              and production
